Did you secure enough time for set up & teardown?: This is a big challenge with rental clients. They complete the party planning checklist but forget about time allowance needed for set up and teardown. Some venues honor 2-3h before event times for set up, but most don't. Including time for your vendors to set up, decor installs, DJ set up, food /catering placement are all considerations when booking a venue. If the budget allows, ask the venue about all day rental options and if cleaning can be handled by staff/ cleaning crews. The extra time gives you and vendors breathing room needed to prepare, set up and ready to fully engage with guests. When the event ends, there's also plenty of time to teardown & vacate the property. At the event venue I manage, we remind clients to consider actual time needed for set up and strike. As a vendor that rents event supplies, we inquire about arrival time (for drop offs or set up) v. event time, requesting a min of 2hrs b/w the two. The same consideration is requested for teardown in case the venue requires hosts to be present for vendor pick ups/strike. The extra time costs, but certainly worth satisfying your vendors and managing your energy throughout the event.
